Creating a mailbox

To create a new mailbox, click on the “Create mailbox” button in either the mailbox overview or the product overview for Microsoft® Exchange.

First, select the required mailbox type in the view for creating a new mailbox. You can choose between “Mailbox”, “Shared mailbox” and “Resource mailbox” here. Use “Mailbox” if you want to assign a mailbox to one user. Shared mailboxes can be used to allow several people to access one mailbox and to send emails from that mailbox. One example of a usage scenario for this type of mailbox would be when setting up a support mailbox for a help or service desk, where several employees send emails from the same mailbox and process incoming emails from the same mailbox. Resource mailboxes can be used to manage rooms or work equipment and to take them into account accordingly in scheduling.


Creating a mailbox of the “Mailbox” or “Shared Mailbox” type

To assign a mailbox to a single user, select “Mailbox” from the “Mailbox type” selection. You then select the required user for creating the mailbox from the “User” drop-down list. Please note that only users for whom no mailbox has yet been created will appear in the list. To simplify the user selection, you can filter the drop-down list by entering characters. Just type in the name of the required user. The selection is immediately filtered for your input.

To create a new shared mailbox, select the “Shared mailbox” option in the selection for the mailbox type. You can then assign a name for the shared mailbox.

You can specify the required mailbox type in the “Product” drop-down list. You can only select mailbox or product types for which you have a sufficient (free) quota. Depending on the product type selected, you will then see further additional mailbox services as well as configuration options for the mailbox. You also have the option to adjust the mailbox storage. Just use the slider to decrease or increase the storage. The mailbox storage available to you depends on the total number of mailboxes provided to you. A type-“L” mailbox will give you 25 GB of storage, a type-“S” mailbox 5 GB of storage and a resource Mailbox 0.5 GB of storage. If you have booked 10 type-“L” mailboxes, for example, you will have in total 250 GB of mailbox storage available that you can distribute between your mailboxes as you wish. The minimum storage for a mailbox is 0.5 GB. You can assign a maximum of 50 GB per mailbox.

For each mailbox, a default email address is generated in the form “firstname.lastname@customerrootname.telekom-cloudcenter.de” for user mailboxes and in the form “name@customerrootname.telekom-cloudcenter.de” for shared mailboxes. This email address will be displayed immediately after selecting a user for a user mailbox or entering a name for a shared mailbox. Please note that you cannot change or delete this email address. Furthermore, this email address is also initially marked as the primary email address.

You can add further email addresses (aliases) by clicking on the “+” button. Here you can freely choose the local part (string before the “@” sign) and the domain part (string after the “@” sign). The drop-down list for the domain will only include previously verified domains for selection. You can identify an email address as the primary email address by clicking on the “P” button.

Please note that alias email addresses can only be used to receive emails. The primary email address is used as the sender address when sending emails. The login address of the user remains unchanged, regardless of the choice of the primary email address.

If you select “Hide mailbox in the Exchange address book”, the mailbox will then no longer appear in your organization’s global address list.

You can then assign the user rights for the Mailbox, if desired. To do this, first select the required mailbox user in the “Name” drop-down list. Please note that you will only see users who already have a Microsoft Exchange mailbox of type “L” (or other L variants). Then assign the right for the dispatch type and for full access to the mailbox.

Send as – This permission allows a user to mimic the mailbox when sending emails, so the sender of the email always appears to be the shared mailbox itself

Send on behalf of – This permission allows a user to send emails on behalf of the shared mailbox, so the recipient always sees “…on behalf of…” as the sender

Full access – This permission allows a user to log in to the mailbox as its owner, allowing the user to read, view and delete emails and to create calendar entries, for example. On its own, however, this permission does not entitle the user to send emails.

Automapping – If a user has been delegated the Full Access permission for this mailbox, Outlook automatically loads this mailbox when this option is enabled.

Using the “+” and “–” buttons, you can authorize additional users or remove authorized users.

Finally, confirm your entries by clicking on the “Save” button.


Creating a mailbox of the “Resource mailbox” type

To create a new resource mailbox, select the “Resource mailbox” option in the selection for the mailbox type. You can then assign a name for the resource mailbox.

You can specify the required mailbox type in the “Product” drop-down list. You can only select mailbox or product types for which you have a sufficient (free) quota. Depending on the product type selected, you will then see further additional mailbox services as well as configuration options for the mailbox. You also have the option to adjust the mailbox storage. Just use the slider to decrease or increase the storage.

For each resource mailbox, a default email address is generated in the form “name@customerrootname.telekom-cloudcenter.de”. This email address will be displayed immediately after entering a name for a mailbox. Please note that you cannot change or delete this email address. Select the resource type (room or equipment) in the “Resource type” drop-down list and specify a representative for the resource mailbox in the “Administrator” drop-down list. If you have multiple product types for a resource mailbox, please also select the required product type in the “Type” drop-down list. You can optionally enter a description for the resource mailbox and the available capacity (e.g., seating in a room). Finally, confirm your entries by clicking on the “Save” button.

Finally, confirm your entries by clicking on the “Save” button.
