Rules for email addresses

When you create and assign mailboxes to individual users, you can specify any email addresses for the primary and alias email addresses. When assigning mailboxes to large numbers of users (user import), the email addresses are assigned using the rules for mail addresses that you have previously defined. You can specify the format to be followed when composing email addresses and the formats to be used for primary and, if applicable, alias email addresses.

When defining a rule for email addresses, please always use the placeholders “g”, “s”, “xs”, and “xg”. Here, “g” stands for the given/first name and “s” for the surname/last name of a user. You can use “xs” to specify how many letters of the last name are to be used, in which case “x” should be replaced with the appropriate number. You use “xg” to specify how many letters of the first name are to be used. Here again, “x” should be replaced with the appropriate number.

Example:

  • After entering “g.s” and selecting a domain, email addresses are created in the format “jane.doe@domain.tld”.
  • After entering “g_s” and selecting a domain, email addresses are created in the format “jane_doe@domain.tld”.

If instead you leave the field for the local part of the email address empty, the local part of the UPN (User Principal Name) is automatically used. For the purpose of illustration, in each case you will see a preview of the email address depending on your input.

Note: Please note that email addresses must not exceed a total length of 255 characters.
